Ruchelman Is Hiring: Part-Time Administrative Assistant

Ruchelman P.L.L.C. is seeking a part-time administrative assistant to be the face of the firm and provide high-quality administrative support to attorneys and staff.

This person will be the first contact for all guests, interacting with our broad network of clients and professionals in person and on the telephone. This person will also be enlisted to complete a variety of administrative tasks that require consistency, strong work ethic, and attention to detail.

The initial hours of the position are 9:00 A.M. to 6:00 P.M. two (2) days per week. This is a great opportunity for a student or recent graduate. For the right candidate, there is potential to become full time and for growth beyond this role.

Primary Job Responsibilities

  • Operate a multiline telephone system, directing calls, taking messages, and scheduling appointments as necessary
  • Create FedEx shipments, send out USPS Certified Mail correspondence, schedule courier pick ups
  • Maintain office supply inventory and place orders as necessary
  • Assist attorneys with typing and data entry, as well as preparing submission binders, scanning, shredding, and filing
  • Prepare diagrams for use in memorandums and articles prepared by attorneys
  • Set up and break down for meetings and events
  • Make daily bank deposits
  • Liaise with offsite IT provider and phone system technicians
  • Brew coffee and load/unload dishwasher
  • Other duties as assigned

Qualifications

  • Excellent verbal and written communication skills
  • Proficiency in MS Office, particularly Word, PowerPoint, and Outlook
  • Knowledge of Skype and Skype video
  • Working knowledge of office equipment such as scanners, printers, postage machines
  • Strong organizational skills
  • Bachelor’s degree (completed or in progress)
  • Prior administrative experience and knowledge of additional languages preferred
  • Previous law office experience a plus
